Administrator – Broadcasting & Entertainment
BFBS provides Broadcasting and Entertainment services for HM Forces in the UK and worldwide.
We are looking for a confident all-round administrator to join the team, primarily supporting the managers and day-to-day activities in Radio, Live Events, Television and Cinemas.
This is a full-time role, 37.5 hours per week, currently working from home, but we are moving to hybrid flexible working. With this in mind, you should be able to work from Chalfont Grove 2-3 days a week.
Working in a busy environment, you will be involved in a variety of activities including arranging meetings, taking notes, collating reports, processing invoices and internal forms, setting up induction programmes for new starters, booking flights and hire cars, maintaining registers and updating documents iaw our ISO9001 quality procedures, and generally being the ‘go-to’ person for the teams you’ll be supporting. You will also be asked to process licencing applications and renewal forms as well as other essential compliance administration, and to provide content and programme support, along with any other ad-hoc work which arises from time to time.
You will be able to communicate with people at all levels, have excellent attention to detail, and be proficient in Microsoft Office Suite (Word, Excel, PowerPoint). You will be familiar with Office 365 applications (SharePoint, OneDrive, Outlook, Forms etc). Knowledge of Visio and Survey Monkey would be beneficial. You will have a can-do attitude, be able to multi-task and have first-rate interpersonal skills. You may be asked to visit other BFBS sites (subject to COVID-19 restrictions), and there will be occasional opportunities to support outside broadcasts and other off-site events in the UK.

Admin & Compliance Manager
To provide general admin support for BFBS Radio including co-ordinating content for broadcast and/or publication on-line.
ISO Documents Controller
Broadcasting and Entertainment (B&E), which includes Radio, Television and Live Events, employs over 60 staff in the UK and overseas.
Support department managers and teams with admin related tasks including, diary management, receiving/forwarding/replying to routine correspondence, and forms requiring authorisation, liaising with internal departments i.e. IT/Finance/HR
Prepare, and publish weekly/monthly radio schedules and update associated databases/systems so that all internal/external stakeholders know what programmes are to be broadcast on BFBS radio.
Organise weekly/monthly progress meetings (online or in person) and individual review meetings, take and distribute minutes or record of actions, as required.
Collate holiday and absence forms on behalf of managers, and forward to HR/Payroll for processing each month.
Check the department shared mailboxes daily and reply or forward correspondence as appropriate.
Collate weekly/monthly content returns and registers, maintain template documents, and create additional reports as required.
Online purchasing, including sourcing competition prizes, and processing invoices in accordance with Finance instructions and as requested by department managers.
Coordinate and process broadcasting licence documents including, application and renewal forms, invoices and annual reports.
Maintain records and set up AGMs relating to BFBS Limited Companies and broadcast licence holders for UK and Gurkha Radio services broadcasting in the UK.
Coordinate the onboarding and induction requirements for new starters (including freelance workers and temps), and process requests to close IT accounts and return of company property for leavers.
Arrange travel and accommodation for staff travelling in the UK and overseas.
Responsible for controlling and updating ISO 9001 policy and supporting documents, including maintaining supplier records, customer feedback, arranging regular management review meetings and associated minutes/records.
All work activities must be completed in accordance with BFBS internal security management systems (ISMS) and policies.
Ad hoc/occasional activities (usually due to leave cover)
Maintain records for Radio resources (vehicles, studios, OB kit etc), ensuring equipment is available, booked out when requested, and returned in working order.
Research and Identify 3rd party programme availability for broadcast on BFBS Radio 2.
Provide admin & digital support at outside broadcasts and other BFBS events or activities taking place off-site.
Provide admin cover as required within the department and occasionally in other areas of the business.
Regularly review admin processes and identify alternative methods/formats to create efficiency for all stakeholders.
Ensure the requirements of ISO 9001 and ISO 27000 are maintained as detailed in Corporate and Departmental Quality and Security Policies.
